Instructions for all Participants
(revised 04/24/07)
Session Chairs
- Chairs will be provided with a PDF file containing all of the abstracts to be presented during their session. Chairs should familiarize themselves with the abstracts which will be presented during their session, and prepare one or two key sentences capturing their abstracts. At the beginning of each symposium, the chair should say something about what the symposium will cover (1-2 min). The chair should say that each speaker is allotted (check number) minutes (this will vary depending on the session) for their lecture and 5 min for discussion. Please try to adhere to the schedule.
- Introduce the speaker, again emphasizing their major contribution. If there are multiple authors, introduce only the speaker’s name, making sure in advance how to pronounce their name.
- Set the timer, and 5 min before end, slowly advance to the side of the podium.
- Open the talk for discussion. If someone has gone over their time limit, just close the talk with one or two quick questions/answers. If there are 5 min or so left, entertain more questions. Please have a question or two ready for each talk to stimulate discussion from the audience in case there is dead silence following "is there any question"? Again, if there are a lot of questions, cut short the discussion, suggesting that he/she may talk to the speakers after the symposium.
- Before coffee or lunch breaks, the chairs should indicate what time to return for the next talk/session (and say the name of the speaker/session). Coffee breaks are 30 minutes, and lunch breaks are 2 hours.
- At the end of the symposium, thank all of the speakers, and if there are “housekeeping” issues we will inform them prior to concluding the symposium. For example, upon adjourning the meeting on Wednesday at 5:30, remind registrants that if they are attending the conference banquet, they must bring along their yellow Banquet Entrance Ticket for admission to the banquet.
Oral Presenters
- Oral presentations should be prepared in Microsoft Powerpoint format (.ppt). PowerPoint in Office 2007 is not backwards compatible by default. Anyone with Office 2007 will have to intentionally save their presentation as backwards compatible. Movies typically need to be copied along with the PowerPoint file in order to play, and MPEG files are more reliable than AVI files.
- Please name the file using your last and first names (e.g., smith_john.ppt) for identification purposes, and save it on a CD or flash drive.
- The file should be submitted to the projectionist at least 30 minutes prior to the start of the session if the projectionist has not already contacted you and obtained your presentation. All files will be deleted from the computer at the end of each session.
- A Windows-PC computer will be available to check your slides before your presentation. There will be no slide or overhead (transparency) projector available.
- Drinking water will be provided.
- Please adhere to your allocated time, allowing sufficient time for questions.
- Please use the pointer whenever necessary.
